How to assign permissions (roles) to staff (users) in the 360 internal portal

360 is designed so everyone in the procurement team can log in and participate in the procurement process with permissions that match their job title. 

Step-by-step guide

To assign Roles:

  1. Sign-in to 360's Internal Portal with Security manager access rights

  2. From the main menu, click Settings

  3. Click Staff and contractors

  4. Click Edit against the desired User record

4.1 Select the System roles

Security manager

Can grant, revoke and adjust users' access to the system, review security logs and set security policies.

System manager (Boss)

Can configure and manage all requests, edit system settings and performing special management duties.

System overseer (Auditor) 

Can view all requests, reports, etc. but has no editing rights throughout the system.

Business manager

Can create and edit associations (relationships) with businesses.

Panel manager

Can create panels and edit panel memberships.

Member manager

Can create and edit membership organisations.

"Tender-Box" opener

Can be a signatory when opening a tender box.

4.2 Select the Request processing roles:

Request manager

Can create new requests and be selected by other managers to assist with the configuration and management of an approach to market.

Evaluator

Can be selected by request managers to participate in the evaluation process of a request - either as an evaluator or a category evaluator (see How to assign Category Evaluators to a Request).

Non-scoring evaluator

Can be selected by request managers to participate in the evaluation process of a request but not score - either as a non-scoring evaluator or non-scoring category evaluator (see How to assign Category Evaluators to a Request).

Auditor (reporter)

Can be selected by request managers to produce reports for a request.

4.3 Select the Request approval roles

Release approver

Can approve or reject a request being published.

2nd release approver

Can approve or reject an request being released (necessary if the first level approver requests a second level of approval).

Decision approver

Can approve or reject a request being finalised with (or without) an awardee.

Debriefing approver

Can approve or reject a debriefing letter being sent.

5. Click Save

At this point, the desired user will have the selected roles assigned.

Please note, assigning users' roles does not change their access rights to any requests - they need to be added or removed from each request.
