How to open a late submission window

It is common to allow a grace-period for the closing date of a request for tender - for example, providing a window of 10 minutes to allow providers to submit slightly late in case of a complication or technical delay.

Sometimes it's also beneficial to allow just one or two providers to submit late because, for example, they were unaware of the request for tender and/or very few submissions were provided.

360 allows a late tender window to be open for all providers or just a few providers on a request-by-request basis.  It also allows a system setting to specify the default late tender window for all newly created requests.

Step-by-step guide

To open a late tender window:

  1. Sign-in to https://360users.apetsoftware.com.au/ as a Request Manager
  2. Find the request via the Requests lists
  3. Navigate via the Request Dashboard to the Participants list
  4. Click Actions → Accept Late Submission against the desired provider
  5. In the pop-up window:
    1. Choose Allow Late Submission option
    2. Specify Late Minutes - enter the number of minutes from the closing date onward (e.g. 1,440 minutes to give them an extra day to submit)
    3. Specify Audit Reason - supply a reason for changing the late tender period
    4. Click Save

At this point, new businesses will not be able to register for the request but the selected business will be able to submit their responses as a "Late Submission".  They will also be required to specify a reason for their late submission.


The Late Submission option is only available when the Allow Late Submissions system setting has been selected and evaluation of the request has not already begun - that is, if no scores and evaluation comments have been entered.
