How to use the Export to Excel feature in the 360 internal portal

Sometimes its useful to export data with each provider's responses and/or evaluation information (scores and comments) side-by-side on a single spreadsheet row.

360 supports a tailored spreadsheet download that can be beneficial for, analysis, data ETL (extract, transform, and load) operations, and mail-merge operations.

Step-by-step guide

To export the providers' response and/or evaluation data in a customised Excel spreadsheet:

  1. Sign-in to https://360users.apetsoftware.com.au/ as the Request Reporter
  2. From the main menu, click Reports → Export to Excel
  3. Select the desired request from the list
  4. Click Download Config

    Contents of the configuration spreadsheet

    The downloaded configuration file will include a row for each data-item that can be exported.  The data-items come in three flavours:

    • Provider information
    • Section information
    • Question information
    • Ranking results information

    Each row contains six values:

    • Column A contains a Code: P (for provider information), S (for section information), Q (for question information), R (for ranking results)
    • Column B contains the Unique ID of the data-item
      • For provider information, the Unique ID is defined by 360 with options such as Legal Entity Name and Is Verified
      • For section information, the Unique ID is the section's Name
      • For question information, the Unique ID is either, the question's Short Name/Code or the questions Question
      • For ranking information, the Unique ID is defined by 360 with options such as:
        • Score
        • Weighted Score
        • Ranking
        • Risk Assessed Score
        • Risk Assessed Weighted Score
        • Risk Assessed Ranking
        • Price
        • Price Weighted Score
        • Price Ranking
        • Final Points
        • Final Percentage
        • Final Ranking
    • Column C contains one or more flags:
      • S for Score - the evaluators' score for the question or section
      • R for Risk Assessed Score - the evaluators' score after applying their risk assessments
      • I for ID - the unique identifier for the provider's response to a question (useful if there is a need to correct data)
      • for weighted score - the percentage score after applying the weighting
    • Column D can be left blank or, if the providers' Compliance Statement for the question should be included in the export, it should specify the export's column width (in Excel's column-width increments)
    • Column E can be left blank or, if the providers' Response for the question should be included in the export, it should specify the export's column width (in Excel's column-width increments)
    • Column F can be left blank or, if the evaluators' Comments for the question should be included in the export, it should specify the export's column width (in Excel's column-width increments)
  5. Tailor configuration spreadsheet by:
    1. Deleting rows that are not wanted
    2. Selecting S, R, W and/or I in column C
    3. Adjusting the values in columns D, E, and F
    4. Saving the configuration spreadsheet
  6. Select the configuration spreadsheet
  7. Click Download Export

At this point, the exported data will be available for inspection and use.
