Tip

Sometimes Sometimes it is important to provide information in addition to supporting documents at a mandatory industry briefing or a site inspection.
For these circumstances 360 has the Pre-submission Rules feature.

Step-by-step guide

Boss user will first need to set the default texts for request managers that needs to be displayed in providers' portal:

  1. Sign-in to https://360users.apetsoftware.com.au/ as Boss User
  2. From the main menu, click Settings
  3. Click Request Configuration Rules & New Request Defaults
  4. Click Pre-Submission Rule Options
  5. Enter the:
    1. Default “Not Assessed” text
    2. Default “Passed” text:
    3. Default “Failed” text:
  6. Click Save

Rule feature in which:

  1. A prominent message is displayed to respondents so that they know that the pre-submission rule applies
  2. Each respondent is marked as "passed" or "failed" by the request manager
  3. Only respondents that have passed the pre-submission rule will be able to submit their responses

Note: This feature is only available to licence holders with the ADCOM extensions.

Step-by-step guide

To configure a pre-submission rule in 360

  1. Sign-in to https://360users.apetsoftware.com.au/ as the Request Manager
  2. Follow the instructions in How to create a new request (e.g. for tender) in the 360 buyers' internal portal to create a new request
  3. Follow the instructions in How to release (publish) a public request to the 360 providers' portal for anyone to respond to to release a request
  4. From the main menu, click RequestsFrom Request Info page (in edit-mode):
    1. Set Pre-submission Rules Apply? to "Yes"
    2. Enter three statements regarding the pre-submission rule - one for each status:
      1. Displayed to providers prior to the rule being applied
      2. Displayed to providers that can submit
      3. Displayed to providers that cannot submit

While the request is open, the request manager must assess compliance with the rule and:

  1. Visit the respondents list by:
    1. If using the new look:
        Click 
        1. Clicking Open / Pending / In Late Submission Period

          2. No -
          If
          1. if the respondent has failed to pass the pre-submission rules
        2. Enter an audit reason, if requested
      4.  Click Confirm

      The system settings has default text for the three messages.  To change the default text:

      1. Sign-in to https://360users.apetsoftware.com.au/ as the Boss user
      2. From the main menu, click Settings

        1. Default “Not Assessed” text

      Initially, the not assessed text is displayed to respondents.

      Once the request manager has passed the marked the respondent as:

      • Passed
        The "passed pre-submission rules
      , 'Passed Presubmission Rules'
      • " email is sent to the respondent and
      "Passed" pre-submission text will be
      • the passed text is displayed in the providers' portal.
      If the respondent has failed to pass the
      • Failed
        The "failed pre-submission rules
      , the respondent will receive 'Failed Presubmission Rules' email and a message will be
      • " email is sent to the respondent and the failed text is displayed in the providers' portal
      with the default "Failed" pre-submission text.
      • The respondent will also not be able to continue
      and submit their responses if they have failed to pass the pre submission rules
      • responding (the response pages enter a read-only mode).
